Every sheet works the same way. Read it top to bottom: room totals, notes, pickup handling, dropoff handling, item rows, then packing supplies. Fill in what matters for the room and skip what does not.

How The Sheets Work Together

Room Sheets are the detailed starting point for a move plan:

  1. Take the room-by-room inventory on Room Sheets.
  2. Review packing materials on Supplies as the room details accumulate.
  3. Review whole-move volume, item counts, and room contributions on Room Summary.
  4. Compare Total Item Volume with truck planning on Truck Capacity.
  5. Use the improved move details and labor assumptions when reviewing Billing.

This keeps each page focused while allowing the next page to use the work already entered. If a later result looks incomplete, return to the relevant Room Sheet and correct the inventory or packing detail there.

Room Totals

The top rows fill in automatically as you add items and supplies below.

  • Room Volume CuFt – running volume for this room. It contributes to Total Item Volume, supports loading decisions, and helps scale the room’s carry time and stair penalty in the labor estimate.
  • Number Of Items Added – inventory items entered here; rolls into the whole-home item count.
  • Number Of Supplies Added – packing-supply entries counted for this room. Supplies that each item needs, such as furniture bags, pads, and mattress bags, are tallied automatically in the background and roll into the Supplies page.
  • Notes For Movers – free text for the crew. Access, fragile items, customer requests, or reminders. Notes do not change the numbers.

Pickup Room Details

What has to happen before items leave this room, and how each field changes the estimate.

  • Pick Up Level Number – models vertical carry, not just “which floor.” One level is about a floor of stair carry; a split level counts as a half. Enter a negative number for a floor below the entry (a walk-down basement), which carries a little easier than going up. The penalty scales with the room’s volume, so a full upstairs room adds far more than a near-empty one.
  • Number Of Items To Disassemble – each item here adds take-apart labor at pickup, on top of carrying.
  • Items To Disassemble – crew note listing which items to take apart. Text only; it does not change the estimate.
  • Volume To Extra Stop CuFt – splits part of this room’s volume to a second stop. That volume is planned as its own leg, not just added to the main total.
  • Items Going To The Extra Stop – crew note for the split. Text only.

Drop Off Room Details

What has to happen when items arrive, and how each field changes the estimate.

  • Drop Off Level Number – same vertical-carry model as pickup, applied at delivery. A split level is half a level; a negative value is a floor below the entry. Scales with the room’s volume.
  • Number Of Items To Assemble – each item adds reassembly labor at delivery.
  • Number Of Items To Place – each item adds placement labor, lighter than assembly, for setting pieces in their final spot.
  • Items To Assemble / Items To Place – crew notes listing the items. Text only; they do not change the estimate.

Item Rows

List the inventory in the room, one item per row.

  • Item – choose a standard name. The Master Inventory List gives consistent names, descriptions, and expected dimensions.
  • Quantity – how many of that item are in this room. Quantities improve inventory volume and the estimate.
  • Item Notes – the exception that matters: “drawers stay in,” “glass top separates,” “needs mattress bag.”
  • Custom items – the bottom of each room sheet has open rows to add your own items when something is not in the catalog, so nothing gets left off.

Packing

Each room sheet has a Packing block: Needs To Be Packed, Already Packed, and Articles To Be Moved. Enter loose contents as measures (drawer space, linear feet of shelves, books, clothes, and files), count boxes that are already packed, then list furniture items for the room.

How Room Sheets Improve The Estimate

  1. Quick Estimates gives a starting number.
  2. Room Sheets add item quantities, so Total Item Volume becomes more useful.
  3. Packing detail feeds the material plan on Supplies.
  4. Room Summary shows which rooms drive the move.
  5. Truck Capacity uses the improved volume for loading planning.
  6. Better volume and notes support labor and pricing review in Billing.
